How to Plan a Gordon Event
Host a beautiful, welcoming event in six steps! Click on the SharePoint guides below each step (accessible to Gordon emails) for more information. If you have specific questions or would benefit from an in-person consultation, a member of our Events & Scheduling team would be delighted to meet with you.
1. 25Live Scheduling
DATE & LOCATION
Reserve your event date(s), time(s), and campus space(s) in our campus scheduling platform, 25Live.
Timeline: ASAP
2. Enrollment Marketing
MARKETING & PRINTING
Submit Wrike requests for marketing (email, social media, website), printed materials and photography & videography.
Timeline: 4 weeks before event
3. Metz Catering
LINENS & REFRESHMENTS
Submit a CaterTrax order for tablecloths and catered food & drink. For use of Lane buffet, email Metz Manager (Len Mitchell).
Timeline: 3 weeks before event
4. Physical Plant
CLEANING & SETUP
Submit a "Work Request" for custodial and room setup assistance through the go.gordon.edu site. Include concise details about desired setup (e.g., (3) 6ft tables).
Timeline: 3 weeks before event
5. CTS (Campus Technology Services)
AUDIOVISUAL & TECH
Submit a "CTS Ticket" by emailing [email protected] with audio, technology, videography and/or livestreaming requests.
Timeline: 3 weeks before event
6. Police
PARKING RESERVATIONS & SIGNAGE
Email Gordon Police to request parking lots, spaces and attendants as well as parking signage. (To borrow "special event" signage for main campus, please email Casey Knight.)
Timeline: 2 weeks before event

Our team is committed to sharing resources across campus. We'd be happy to lend you:
- Centerpieces & Decor: baskets, candle holders, eucalyptus, mirrors, fairy lights, pumpkins, vases
- Event Signage: "Event" and "Special Event" sandwich board signs with holders, "Private Event" retail-sized signs with large metal holders, pedestal sign holders (landscape), wooden table sign holders (portrait), acrylic sign holders (portrait), blue feather banners
- Misc. Event Supplies: name tag holders, plastic book stands, portable chargers, portable speakers, tents
